PROJECT CHECKLIST: A Guide to Effective Project Management
Have you ever caught yourself wondering: Are all these stress worth it?
Owning a business could mean an insanely hectic schedule and a fast-paced but often regimented lifestyle. In managing your business, there will be projects that you have to organize strictly and handle closely especially when your business is geared towards service or creativity. You will need to manage teams for different projects which would probably be on different deadlines and different degrees of difficulty. You might even need to put in long hours when on a very tight schedule. However, when you are not prepared to do this, you can and most likely lose clients.
When you, as the leader, cannot handle the tasks, the deadlines, the people, and the stress properly, a project becomes a mess. Tedious tasks are either left to be put aside or take everyone’s time. Miscommunication among team members results in confusion and conflict. And things may be forgotten, or that mediocrity could be a problem. Failing to meet the deadline is one thing, but delivering a passable output is a sin.
One of the solutions or preventive measures to this is a good project management scheme. A good head start is having the right project management tool. But the very foundation of “management” itself will bring you to success. Here is a quick checklist before embarking on a project:
1. Homework and Deliberation. Study the project. Determine the difficulty of the project, the tasks that need to be done, and the amount of time it would consume. Figure out strategies that can help ease the way and make everything work seamlessly. Outline all the tasks clearly, including subcategories for each as needed, for easy reference. A comprehensive and detailed timetable must be created to make a good visual.
2. Plan and Plot. Plan things ahead and make a timetable. Planning will help you have a picture of how the project can turn out or how things will get done. Plot everything in a comprehensive timetable. In this way, you can track how the entire project progresses and how much of the plan is being carried out.
3. Breakdown and Delegation. The entire project must be parcelled out into different tasks in order to get things done more quickly and make these tasks specific. Meaning, every task should be assigned to a particular person who could be the most effective candidate for it. Assign your members to the tasks that could also make them excel or thrive in the work environment.
4. Connectivity and Accessibility. Put all the data gathered into a cohesive cloud storage to make it accessible to the entire project team, so they could easily access or modify without having to bug each other or someone about it. This also enables everyone to help or give opinion to each other’s task. You can also quickly monitor their progress if you have access to what they are doing, which will help immensely on the communication within the team.
There will be moments when you feel like pulling your hair out in frustration. Or, at times when you feel the need for a long vacation to rest frayed nerves, overworked muscles, and drained brain. But, as long as you have control of how the project is going, there is nothing to worry.
Take a few breaks in between, even just to breathe freely. Order some pizza as a reward for you and your staff for all the hard work you have been doing. Or, you could plan the next company outing to get everyone relaxed and rested before the next big project.
